Our hotel-experienced staff, now working on the “other side of the desk,” is well trained to negotiate the best contracts for our clients. Our high volume of meetings gives us volume influence that most clients do not have on their own.

We write customized Requests for Proposals (RFPs) based on each client’s specific needs to research and identify the best locations and properties. Using our extensive meeting site database, we leverage our high volume of meetings and strong hospitality relationships to find the best location for your event.

Once we find the perfect facility, we negotiate and execute fair contracts with excellent client financial packages. We have positive working relationships with nearly all of the national sales offices of major hotel chains, as well as direct professional relationships with staff in many hotels across the US, Canada, Europe, and Asia.

Our standard facility negotiations include:

  • Negotiating the best in meeting room rates and services.
  • Reviewing legal and financial liabilities.
  • Negotiating reasonable and fair attrition and cancellation clauses.
  • Negotiating the most competitive sliding scale meeting room rental, when applicable.

Most of our clients choose to use the C&LC customized hotel contract, which provides our clients with the best value, service, and liability protection.

Commission Rebate

For many clients, commissions received from hotels can offset the cost of our services. In most cases, there is no increase in rates or other costs to our client or your attendees. We provide full disclosure about commissionable rates this information will be included in all contracts and other agreements signed by all parties.
